Write An Email To Introduce Yourself To A Hiring Manager

When looking for a job, whether you’re searching the market generally or looking for a specific position, it’s often worth it to create a proper introduction email to hiring managers.

To introduce yourself to a hiring manager, you’ll want to establish who you are, why you’re contacting them, and what your credentials are. You’ll also want to let them know your availability and give them a method for contacting you.

How to Introduce Yourself to A Hiring Manager via Email

Your introduction email should be relatively short and to the point; this manager does not know you and may consider a lengthy email overeager or, in a worst-case scenario, rude and devaluing of their time. So, to keep your email in check, follow these points.

  1. Use a professional and specific subject line mentioning either your intent to be put on file or the job to which you are hoping to apply.
  2. Address the hiring manager politely by name (first name only is usually fine for these situations).
  3. Introduce yourself by your preferred name.
  4. Explain why you are connecting with them (whether this is about a specific position or a request to keep your information on file for consideration).
  5. Explain your credentials in roughly one paragraph, including your highest level of education, certifications, years of experience, and any relevant accomplishments you have in your career.
  6. Express your enthusiasm for the position or company (be specific about this – always research companies and their work before applying!).
  7. Offer your availability and preferred contact method.
  8. Sign off politely with your name and contact information.

As a note, it is usually best to avoid sending your resume as an attachment in an unsolicited email such as an introduction. Attachments often carry viruses, so the hiring manager is likely to mark your message as spam if they see an attachment. Instead, offer to send your resume upon request.
